Personal data we process
Polteq Test Services B.V. processes your personal data because you use our services and/or because you provide them to us yourself. Below is an overview of the personal data we process:
- First and last name
- Phone number
- Business email address
- Other personal data that you actively provide through, for example, your registration for one of our trainings, conferences, workshops or courses
- Data about your activities on our website
- In some cases, data about your browsing behaviour across different websites (for example, because we sporadically use online advertising campaigns)
- Your CV and other necessary documents in case you are applying for a job
Special and/or sensitive personal data we process
Our website and/or service does not intend to collect data on website visitors under the age of 16. Unless they have parental or guardian permission. However, we cannot verify whether a visitor is older than 16. We therefore recommend that parents be involved in their children’s online activities to avoid collecting data about children without parental consent. For what purpose and on what basis we process personal data
We may only process personal data if there is a legal basis for doing so (Art. 6 AVG). We therefore only process personal data for the following bases and provide the applicable situations: You have given prior consent to the processing of your personal data: the delivery of our (digital) newsletter when you have signed up for it and are not (yet) a customer; the placement of social media and tracking cookies. The processing of your personal data is necessary to enter into or perform the agreement with you, including: to process job applications; to call or email you if necessary to perform our services; to notify you of changes to our services and products; to perform services at your premises. The processing of your personal data is required to fulfill a legal obligation including: complying with tax and other legal obligations. The processing is necessary for a legitimate interest, including: to maintain a good relationship with you as a customer, offering services and/or products, including through our digital newsletter; to improve our services through statistical analysis.
Sending of newsletters
Polteq sends newsletters via e-mail. If you are not yet a customer, you can subscribe to this by giving your consent. If you are a customer, you can indicate that you do not want to receive a digital newsletter when you enter your e-mail address. Of course, you can unsubscribe from our newsletter at any time via the link at the bottom of the newsletters or by sending an email to nieuws@polteq.com. Our newsletters are primarily focused on knowledge sharing and information regarding our services and events we organize. Your first name, last name and e-mail address are collected through the appropriate form on Polteq’s website. Your email address and first and last name are stored in MailChimp which processes personal data on our behalf. Of course, proper arrangements have been made with them to ensure your privacy.
How long we keep personal data
Polteq Test Services B.V. stores your personal data no longer than strictly necessary to fulfill the legitimate purposes for which your data are collected. The following situations can be distinguished in this regard. 1) If you have consented to the processing of your personal data, we process this personal data until the moment you withdraw this consent. In the interim, we will ask you if you wish to maintain your consent. 2) If we process your personal data because it is necessary to comply with a legal obligation, we will retain your data for as long as necessary to comply with any legal (retention) obligation. 3) If we process your personal data because it is necessary for the performance of a contract with you, we will keep this personal data for at least five years after the end of the contract or as much longer as necessary. 4) If we process your personal data for the purpose of a legitimate interest, we will not retain such data for longer than is necessary and justified. 5) If we collect your personal data as part of a job application process, we will delete this personal data no later than four weeks after the end of the job application process, unless you have consented to longer storage in order to be considered as a future candidate/applicant.

How we secure personal data
